1. Who we are

Fotilo Films is the brand of FOTILO FILMS (OPC) PRIVATE LIMITED, CIN U93000TG2018OPC129227 ("Fotilo", "we", "us" or "our"). We provide social media content strategy and management, video production, photography and related creative services.

This Privacy Policy explains how we handle personal information collected through www.fotilofilms.com and related enquiries made by email, telephone, WhatsApp or other business communication channels. Project-specific data handling may also be covered by your service agreement.

2. Information we collect

When you contact us, we may collect your name, email address, telephone number, company or brand name, service requirements, project location, proposed dates, budget information and the messages or documents you choose to share. The information collected depends on the channel and your enquiry.

If you become a client, we may also collect contact details for authorised representatives, billing information, GST details where relevant, contracts and project communications. Zoho Invoice is used for invoicing and related customer records.

Website hosting and security services may process technical information such as IP addresses, browser and device details, timestamps, requested pages and error or security logs.

Our website is hosted on Vercel. Business enquiries are handled through our Google-hosted business email. We do not use optional analytics, advertising pixels or session-recording tools on this website. Necessary hosting and security processing may still occur. If we introduce optional tracking or embedded third-party content, we will update these disclosures and provide relevant choices before enabling it.

Please do not send passwords, Aadhaar copies, payment-card details, medical information or other sensitive information through a general enquiry unless a specific, necessary and appropriately protected process has been agreed with us.

3. How we use information

We use information to:

• Prepare proposals, estimates and service agreements.
• Coordinate shoots, content production and other agreed services.
• Manage invoicing, payments and business records.
• Maintain the website, investigate technical problems and protect against misuse.

• Send promotional updates through the channels you have separately agreed to receive them on.

An enquiry does not automatically subscribe you to promotional messages. Responding to your request and coordinating a project are separate from sending marketing communications.

4. Marketing choices

Where we seek permission to send promotional email or WhatsApp messages, the choice is optional and separate from submitting an enquiry. We keep a record of the permission provided.

You can withdraw your marketing permission by emailing info@fotilofilms.com, using an available unsubscribe link, or replying "STOP" to a promotional WhatsApp message. Withdrawing marketing permission will not prevent necessary communication about an ongoing project or required business records.

5. Who may receive information

Vipasha Kiran receives and manages business enquiries. Information may also be accessed by authorised personnel or project partners where needed to respond to your request or deliver agreed services.

We use service providers for website hosting, email, invoicing and other necessary business functions. These include Vercel for website hosting, Google for email and Zoho Invoice for billing. Their access should be limited to the functions they provide. We may share relevant information with professional advisers, or with authorities when disclosure is legally required.

We do not sell personal information. Client briefs and confidential project material are handled under the applicable service agreement; this policy does not grant us permission to publish them.

6. Cookies and external services

Any cookies, optional analytics or advertising technologies enabled on the website will be described in the website-technology disclosure above or a linked Cookie Notice. Where optional technologies require permission, we will provide the relevant choices before enabling them.

Links to social networks and other websites take you to services governed by their own privacy policies. Embedded videos or maps, if enabled, may also allow their providers to process technical information. We are responsible for disclosing our use of those services; their independent processing is governed by their own terms and policies.

7. Storage and international processing

Our service providers may process information in India or other countries, depending on their systems and account settings. Where relevant, we will use contractual and technical safeguards and comply with applicable restrictions on transferring information. Contact us if you need more information about a particular provider or project arrangement.

8. How long we retain information

For enquiries that do not become projects, our retention period is up to 12 months after the last meaningful contact, unless a longer period is justified by an ongoing discussion, dispute or legal requirement.

Client, contractual and financial records are retained for the engagement and for applicable legal, accounting and dispute-resolution requirements. Raw footage, project files and deliverables follow the retention terms of the client agreement.

Marketing contact information is retained while permission remains active. We review marketing lists annually and remove or seek renewed permission for contacts with no meaningful engagement for 24 months; absence of a reply is not renewed permission. After an opt-out, we may retain a minimal suppression record to prevent further promotional messages. Consent evidence may be retained where needed to demonstrate the permission given.

Information that is no longer needed will be deleted or anonymised under our retention process. Residual backup copies may remain until their scheduled overwrite; legal holds may also delay deletion.

9. Security

We use reasonable organisational and technical safeguards appropriate to the information we handle, including access restrictions and secure account practices. No internet transmission or storage system can guarantee absolute security. We will address security incidents and make notifications where required by applicable law.

10. Your requests and grievances

You may contact us to request access to or correction of your information, deletion where appropriate, withdrawal of consent, or an explanation of our handling of your information. We will consider requests under applicable law and our commitments in this policy. Some records may need to be retained for legal obligations or to resolve disputes.

We may request proportionate information to verify your identity before acting. Please avoid sending sensitive identification documents unless we explain why they are needed and provide an appropriate channel.

11. Children

The website is intended for people enquiring about business services and is not directed at children under 18. Projects involving children require separate permissions and safeguards.

We may update this policy when our services, systems or applicable requirements change. The revised version will show its effective date. Where a material change requires a new notice or permission, we will provide it through an appropriate channel.
